Terms of Service

Acceptance of Terms

By accessing or using RefrigerantTrack, you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the service.

Description of Service

RefrigerantTrack provides EPA Section 608 refrigerant tracking tools including leak rate calculations, compliance reports, and service record management. The service is designed to help HVAC technicians, facility managers, and equipment owners organize and monitor their refrigerant compliance data.

EPA Compliance Disclaimer

RefrigerantTrack calculates leak rates and generates compliance reports based on data you provide. These calculations and reports are for informational purposes only and do not constitute official EPA compliance verification, legal advice, or a substitute for professional environmental compliance consulting. You are solely responsible for confirming your compliance obligations under EPA Section 608 and all applicable federal, state, and local regulations. RefrigerantTrack is not an EPA-certified compliance entity.

Account Terms

You may create one account per person. You agree to provide accurate and current information when registering and to keep your account credentials secure. You are solely responsible for all activity that occurs under your account. Notify us immediately at support@refrigeranttrack.com if you suspect unauthorized access.

Data Accuracy

You are responsible for the accuracy of all system data, service records, and refrigerant amounts you enter into RefrigerantTrack. All calculations, compliance scores, and reports generated by the service are based entirely on the data you provide. We do not independently verify your inputs against physical measurements or EPA records.

Subscription and Payment

RefrigerantTrack offers a free tier that supports up to 5 systems. Paid plans unlock additional systems and features and are billed monthly via Stripe. You may cancel your subscription at any time from the billing dashboard. Cancellation takes effect at the end of the current billing period; no partial refunds are issued for unused time.

Data Retention

Your compliance data, service records, and system information are retained for a minimum of 3 years in accordance with EPA Section 608 record-keeping requirements. After you delete your account, your data is retained for 30 additional days before permanent deletion, allowing time for export or appeal. Data subject to active regulatory holds may be retained longer as required by law.

Limitation of Liability

RefrigerantTrack shall not be liable for any EPA fines, penalties, enforcement actions, or compliance failures resulting from your reliance on calculations, reports, or alerts generated by the service. To the maximum extent permitted by applicable law, our total liability for any claim arising out of or related to these terms or the service shall not exceed the amounts you paid us in the 12 months preceding the claim.

Termination

We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or misuse the service. You may terminate your account at any time from account settings. Upon termination, your right to use the service ceases immediately.

Changes to Terms

We may update these Terms of Service from time to time. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you by email. Your continued use of RefrigerantTrack after changes are posted constitutes your acceptance of the updated terms.
